Setup Guide: Idea Box Notifications - Prospect Idea

How to configure the notification sent when a user enters a new Prospect Idea into the Idea Box.

Audience

This document in designed for the person who will be administering the Integrated Business Applications software. This person should be proficient in the use of computers but will not require advanced technical knowledge.

Functionality Overview

The Idea Box Notifications – Compant Idea configuration allows the System Administrator to configure an automated New Prospect Idea Notifications. This Notification is in the form of a e-mail that is sent to a predefined Recipient when a new Prospect Idea is submitted to the Idea Box.

Accessing the Prospect Idea Notification Settings

To access Prospect Idea Notifications configuration, click System Setup located on the Main Menu, select Idea Box Notifications – Prospect Idea from the setup options and then click the Proceed Button (See Figure 1).

Editing the Prospect Ideas Notification Settings

To edit the Prospect Idea Notification Setting, click the Edit Notification Settings Link located on the Idea Box Notification Screen (See Figure 2).

When the Notification Edit Screen opens, update the Screen Fields as required. System Merge Fields (discussed below) can be used to automatically insert content into the Notification. Make sure the Enabled Checkbox is checked and then click the Save Button (See Figure 3).

The following table provides a list of Notification Configuration Screen Fields as well as the purpose of each.
Field Purpose
Read Receipt Requests a Read Receipt from the Recipient.
Delivery Receipt Requests a Delivery Receipt from the destination mail server. Note that this will only work if the destination mail server is configured to send Delivery Receipts.
Priority Sets the Priority of the Notification (Low, Medium, High).
Fr: The From Address that appears in the Notification.
To: This address is automatically inserted by the system when a Notification is sent. Note that this address is retrieved from the main E-Mail Address entered into the Employee Record - in the Integrated Business Applications Employees Module.
Cc: This address is optional. It sends a copy of the Notification to the inserted Recipient Address.
Bcc: This address is optional. It sends a blind copy of the Notification to the inserted Recipient Address.
Subject: Inserts a Subject Line into the Notification.
Message Body Forms the Message Body of the Notification.
The following table provides a list of the System Merge Fields, and their purpose, that can be inserted into the Notification Message Body.
Code Purpose
++Title++ Inserts the Employee’s Formal Title (Mr., Ms., Etc.).
++FirstName++ Inserts the Employee’s First Name into the Error Notification.
++Initial++ Inserts the Employee’s Middle Initial if available.
++LastName++ Inserts the Employee’s Last Name.
++EmployeeNumber++ Inserts the Employee’s Employee Number as recorded in the Employee Module.
++Division++ Inserts the Employee’s currently assigned Division as set in the Employee Module.
++Department++ Inserts the Employee’s currently assigned Department as set in the Employee Module.
++EMail++ Inserts the Employee’s E-Mail Address as set in the Employee Module.
++Telephone++ Inserts the Employee’s Telephone Number as set in the Employee Module.
++DateTime++ Inserts the Date and Time when the Employee was added to the Employee Module.
