Setup Guide: Countries Management

Manage the system Countries list. This list of Countries is available through out the system - wherever a Country pick list is presented.

Audience

This document in designed for the person who will be administering the Integrated Business Applications software. This person should be proficient in the use of computers but will not require advanced technical knowledge.

Instructions and Screenshots

The Instructions and screenshots presented within this document are based on the version of Integrated Business Applications available when the document was published.

Countries List

A drop list containing the names of various Countries is available throughout the modules of the Integrated Business Applications software. Countries can be added to this list as needed and existing Countries can be edited as required.

To access the Countries List, click System Setup located on the Main Menu, select Countries from the setup options and then click the Proceed Button.

The Countries list displays the Country Code and Country Name sorted by the two letter Country Code (See Figure 1).

The Countries List can be sorted and filtered by the two letter Country Code or Country Name by using the Filter Bar located above the Countries List. The Country Currency Code can be viewed by clicking the Plus (+) Icon located to the left of each entry (See Figure 2).

Records in the Country List are displayed ten (10) per page by default. Record Paging can be switched on or off by clicking the Turn Paging On or Turn Paging Off links – located at the bottom left corner of the listed entries.

Adding a Country to the Country List

To add a new Country, click the Add Country Link located on the Menu Bar – above the Country List (See Figure 3).

After Clicking the Add Country Link, the Add Country Screen will open (See Figure 4).

Simply enter the Country Name, Two Letter Country Code and Country Currency Code and then click the Save Button. The new Country will appear in the Country List.

Editing a Country in the Country List

To edit an existing Country, click the Edit Link located to the right of the Country Entry (See Figure 5).

After clicking the Edit Country Link, the Edit Country Screen will open (See Figure 6).

Simply update the Country Name, Two Letter Country Code or Country Currency Code and then click the Save Button. The updated Country information will appear in the Country List.
Note:

Updating a Country Record will update the Country in all records, in all Integrated Business Applications modules, that are attached to the now updated Country recorded.

Deleting a Country from the Country List

To delete an existing Country, click the Delete Link located to the right of the Country Entry (See Figure 7).

After Clicking the Delete Link, a Delete Confirmation Screen will appear (See Figure 8).

Click Delete Record to confirm the pending delete action. The Country will then be removed from the list.
Note:

A Country can only be deleted if there are no records in other Integrated Business Applications Modules using the Country Record being deleted. If there are records attached to the Country, a “Record In Use” Error Message will be displayed. See Figure 9: Record In Use Error Message.
