Setup Guide: Chat Rooms Setup

Explains how to configure Chat Rooms. Create as many Chat Rooms as needed, restrict access by user account and generate chat logs.

Audience

This document in designed for the person who will be administering the Integrated Business Applications software. This person should be proficient in the use of computers but will not require advanced technical knowledge.

The Instructions and screenshots presented within this document are based on the version of Integrated Business Applications available when the document was published.

Chat Rooms

Chat Rooms support the creation of real-time discussion areas (Chat Rooms) within the Integrated Business Applications software.
To enable a Chat Room you must complete three tasks:
  1. Give the End User’s main system level User Account Chat Room permissions.
  2. Create a Chat Room.
  3. Grant the End User access to the specific Chat Room.
Task 2 and 3 are discussed next. Task 1 is discussed in the Integrated Business Applications – System Administration - User Accounts and Permissions document.

To access the Chat Rooms Setup Screens, click System Setup on the Main Menu, select Chat Rooms Setup from the System Setup Screen and click the Proceed Button.

Creating a Chat Room

To create a Chat Room, click the Add Chat Room option located on the Chat Rooms Page Menu Bar (See Figure 1).

After clicking the Add Chat Room link on the Menu Bar, the Chat Rooms Add Dialog Box will appear as show below (See Figure 2).

The following is a list of the fields that must be completed in order to complete the new Chat Room setup:
  • Chat Room Name

    Sets the Chat Room Name which will be displayed on the left side menu on the main Chat Room Users Screen.
  • Refresh Rate

    Sets the frequency at which the Chat Window will refresh showing new comments to the Chat Room Participants.
  • Comment Count

    Controls the maximum number of Comments that will be displayed in the main Chat Window and any given time.
  • Comment Length

    Sets the maximum length of a Comment that can be entered by the Chat Room Participants.
  • Online Expiration

    Sets the length of time a chat participant’s name will remain in the Recipient List under the Send Private Comment option – after the participant has left the room. Typically set to just a few seconds.
  • Chat Room Description

    The Chat Room Description provides the Chat Room Participants with a description of the Chat Room when they “mouse over” the Chat Room Name – located on the Chat Room Menu List.

Granting Access to Specific Chat Rooms

In order for a Participant to access a specific Chat Room, the Participant’s User Account must be granted access to that specific Chat Room. Granting access to a Chat Room causes the Chat Room Name to appear in the User’s Chat Room list (See Figure 3).

To grant a User Account access to a Chat Room click the Access Link located on the right side of the Chat Room List (See Figure 4).

Clicking the Access Link opens the Chat Rooms Permissions Screen (See Figure 5).

The Chat Rooms Permission Screen displays User Accounts with no access to the Chat Room in the left side No Access Panel and the User Accounts with access to the Chat Room in the right side Access Granted Panel.

To grant access to a User Account, place a checkmark next to the User Accounts in the left side panel and click the Grant Access Button located at the bottom of the panel. The selected User Accounts will move to the right side Access Granted Panel (See Figure 6).

To remove access to the Chat Room from a User Account, place a checkmark next to the User Account in the Access Granted Panel and then click the Remove Access Button located at the bottom of the panel. The select User Accounts will move to the left side No Access Panel.

Deleting a Chat Room

To delete a Chat Room click the Delete Link located on the right side of the Chat Room Entry in the Chat Rooms List (See Figure 7).

Note

A Chat Room can only be deleted if there are no Chat Entries in the Chat Room. Chat Entries are Child Records of the Chat Room. If Chat Entries exist for the Chat Room, the Chat Room can only be Disabled (discussed next).

Disabling a Chat Room

To disable a Chat Room, click the Edit Link located to the right side of the Chat Room entry in the Chat Rooms List (See Figure 8).

When the Chat Room Edit Screen opens, change the Active Status to No. This will remove the Chat Room from the End User’s list of available Chat Rooms (See Figure 9).
